Campaigns: scheduled and triggered outreach

Send email, text or voice campaigns on a schedule, or when something happens to a member: renewal coming up, past due, new member, failed payment and more.

Campaigns

A campaign sends the right message at the right moment without anyone hitting send. Find them under Outreach → Email, then New campaign. Every campaign has a channel (email, text or voice call), a timing (on a schedule, or when something happens), an audience, and a message. Scheduled and triggered campaigns are a Pro plan feature; on Starter you can build and save drafts.

Start from a ready-made campaign

The quickest way in is a preset: a 30-day renewal reminder, a 7-day renewal text, a past due notice, a past due call, a welcome email or call, a payment-failed text, a lapsed win-back, a membership anniversary, an event registration confirmation, event reminders by text or email, a thank-you after an event, an appointment reminder text, a missed-call email or voicemail text after a Mynd call, a monthly newsletter, or a weekly text update. Each one fills the builder; change anything before you start it.

When something happens (triggers)

  1. Renewal is coming up — a set number of days before each member's renewal date, at the time of day you pick. Once per renewal.
  2. Member is past due — a set number of days after a renewal date passed without payment.
  3. Membership anniversary — every year on the date the member joined.
  4. New member joins — when a member is added or signs up, right away or after a wait.
  5. Membership status changes — when a member becomes active, lapsed or cancelled.
  6. A payment fails — when a dues payment is declined.
  7. A payment goes through.
  8. Registers for an event.
  9. An event they registered for is coming up — a set number of days before the event (0 for the day of), for every event or just one.
  10. After an event they registered for — a set number of days after it ends, optionally only to people who checked in.
  11. An appointment is coming up — to the member who booked it. If the appointment moves, the reminder follows it.
  12. After a Mynd call — when nobody answered, the call went to voicemail, or the member asked for a callback, said they'll pay, will renew online or won't renew. Follow-ups go by email or text, never another call.

Triggers that start from something a member does go out within the hour (or after the wait you set).

On a schedule

Every day, every week on a weekday, or every month on a day from the 1st to the 28th, at the hour you pick in your organization's time zone, with an optional end date.

Who gets it

Start from a saved segment, add rules (status, level, tag, renewal dates, join date), or both. The builder shows how many members match today. Before each send the member is checked again, so someone who renewed or left the audience is skipped.

Messages and merge fields

Use {{first_name}}, {{last_name}}, {{org_name}}, {{level_name}}, {{renewal_date}}, {{days_until_renewal}} and {{renew_url}} in emails, texts and call scripts. Event triggers add {{event_name}}, {{event_date}}, {{event_time}}, {{event_location}} and {{event_url}}; appointment reminders add {{appointment_name}}, {{appointment_date}} and {{appointment_time}}. Draft with Mynd writes a first draft from one line describing what it should say. A Mynd call made by an event or appointment campaign already knows which event or appointment it's about. Emails carry an unsubscribe link and your postal address automatically, and members who turned off that type of email (dues, events, news) are skipped. Voice campaigns use one of your Mynd agents, only call members with call consent on file, and use Mynd credits.

Safeguards

  • Texts and calls only go out between 9am and 8pm in your time zone; anything due earlier waits until the morning.
  • Most members per run caps each day's sends, useful for keeping call credits in check.
  • Each member only once makes a campaign one-and-done per member.
  • Each campaign page shows every send with its status and the reason anything was skipped (no phone, opted out, no consent, out of credits).

Pause, resume, edit or delete a campaign from its page. Sending one email, text or call batch once? Use Send once on the Campaigns page.
