Documents library: bylaws, minutes and forms
Upload governing documents, meeting minutes, budgets and forms, and choose whether anyone, members, or only your board and team can open each one.
What it's for
Keep the documents your members ask for in one place: bylaws and covenants, board and annual meeting minutes, budgets and reserve studies, request forms and policies. Find it in your dashboard under Documents.
Adding a document
- Choose the file. PDF, Word, Excel, PowerPoint, PNG or JPG images and plain text are accepted, up to 25MB each.
- Give it a title, a category, and a date if it has one (the meeting date for minutes, or when a document was adopted).
- Choose who can see it, then select Upload.
Pin a document to keep it at the top of its category. To replace a file, upload the new version and delete the old one.
Who can see each document
- Anyone: listed on your public site under Documents.
- Members: members in good standing, once they sign in, and your team. Lapsed, pending or suspended members can't open these. Signed-out visitors see a note that more documents are available to members.
- Board and team only: only people on your Team page. Use this for drafts, executive-session minutes or anything not ready to share.
Every file opens through Mybers, which checks who is asking each time. Changing a document to a more private setting takes effect right away, and there is no public file link to pass around.
Where members find them
When you have documents for anyone, a Documents link appears in your site's menu. When they are all members-only, the link shows for signed-in members. Adding, changing and deleting documents is recorded in your audit log.
Managing documents needs the Communications permission, the same as News.
